Position Description Procedures - Administrative/Professional & Support Staff
Summary
Each existing Support and Administrative/Professional position will have a completed Position Information Questionnaire (PIQ) and a job description based on the PIQ. Each PIQ and job description will identify the essential functions of the position. Supervisors will submit a PIQ and job description prior to posting a new position, with concurrence of the Executive Staff member responsible for the department and with guidance from and review by the Human Resources Office and the Executive Council.
Procedures
Position descriptions
Each existing Support and Administrative/Professional position will have a completed Position Information Questionnaire (PIQ) and a job description based on the PIQ. Each PIQ and job description will identify the essential functions of the position. Supervisors will submit a PIQ and job description prior to posting a new position, with concurrence of the Executive Staff member responsible for the department and with guidance from and review by the Human Resources Office. HR is responsible for final review of positions for rating and pay grade level consistency to maintain integrity of the system.
Annual review of position
All PIQs will be reviewed annually by the employee and the supervisor with the mid-year
or year-end appraisal. For any position in which there is proposed significant change,
the supervisor will obtain approval from the appropriate executive staff member and
Vice President before contacting the Human Resources Office for guidance on revising
the PIQ. Changes that may result in increased compensation must be estimated and approved
by the President/Vice President Council before the PIQ is revised. If final placement
results in an increase beyond the estimate approved, amended approval is required.
The revised PIQ, with required signatures/approvals, will be submitted by the supervisor
to the Human Resources Office. The Human Resources Office will review the PIQ to
determine a pay grade placement which is equitable with other positions within the
College and within appropriate market comparisons for the position.
Review timelines
PIQs may be submitted to the Human Resources Office for review at any time throughout the year.
Appeals
If a supervisor feels a pay grade determination made by the Human Resources Office does not correctly place the position in the compensation system the placement may be appealed. A written request to appeal must be made by the supervisor to their respective executive staff member. If the executive staff member supports and approves the appeal request, the executive must forward the request to appeal to their respective Vice President. The Vice President will present the appeal request to the President and Vice Presidents. Authority for final determination will reside with the President.
Authority
The President of the College has the final authority to establish the placement of each position within the compensation system.
